Use this article to understand Job Slot capacity, delivery expectations, client communication and how an ongoing Job Slot assignment is managed.
What a Job Slot is
One Job Slot normally represents one active role managed at a time for a client. A slot is capacity, not ownership of a particular vacancy. When a role is filled, closed, paused or reprioritized, the slot may move to another role in line with the client project and the applicable terms.
Job Slot assignments may be structured at different capacity levels. Examples include a dedicated 1-slot assignment, a part-time assignment equivalent to 4 slots, or a full-time assignment equivalent to 8 slots. The actual capacity, duration and expected dedication are confirmed before the assignment begins.
Assignment availability and capacity are not guaranteed. Workfully selects and allocates Job Slot work based on client needs, recruiter fit, performance, availability and the applicable tier or assignment process.
What Job Slot work involves
For each assigned role, you are expected to manage the recruitment process from sourcing through conclusion. This normally includes:
Understanding and challenging the brief where needed.
Sourcing and screening suitable candidates.
Adding candidates and accurate notes to the Workfully platform.
Coordinating interviews and collecting feedback.
Preparing and keeping candidates engaged.
Leading candidate-side compensation and offer conversations where assigned.
Updating the pipeline and reporting blockers promptly.
Advising the client on market conditions, salary expectations and realistic hiring criteria.
Delivery expectations
The project-specific terms are the source of truth. The current Job Slot template includes these monthly operating measures:
Deliver 2 screened candidates to the shortlist per week, per active job.
Maintain a shortlist-to-first-client-interview conversion rate above 30%.
Maintain monthly client feedback of at least 4 stars under the stated feedback process.
Recruitment conditions can change, so candidate volume alone is not the only sign of useful work. When a target is temporarily difficult to reach, demonstrate measurable progress through:
Clear market data and strategic advice.
Frequent, proactive progress updates.
Transparent sourcing, screening and pipeline metrics.
Early escalation of blockers or unrealistic requirements.
A documented remediation plan agreed with the Delivery Manager.
KPIs are reviewed regularly, and client feedback is especially important. Persistent missed targets without good-faith remediation may lead to a review or reallocation of one or more slots. The applicable project terms determine the formal consequences.
Communication standards
Keep the Delivery Manager and relevant client contacts informed at the frequency agreed for the account. Do not wait for a weekly meeting to raise a material blocker.
Communicate promptly when:
The market is not responding to the brief.
Compensation or requirements are limiting the pipeline.
Candidate availability changes.
Interviews or feedback are delayed.
A candidate withdraws.
A role is paused, cancelled or materially changed.
You may miss an agreed target or meeting.
Keep the platform complete
Candidates, submissions, interview activity, feedback, comments and status changes must be recorded in Workfully so the client and delivery team have an accurate view of progress.
Do not maintain a separate version of the pipeline that leaves Workfully incomplete. If an activity happens outside the platform because of a practical exception, log the relevant outcome promptly.
Compensation, invoicing and payment
The compensation amount, currency, invoice requirements and payment process are stated in the applicable Job Slot terms and Workfully's written invoice instructions.
Job Slot compensation is linked to the accepted assignment and service period; it is not a promise of indefinite work, minimum future capacity or renewal. Submit only the amount Workfully confirms and provide a valid invoice in the required format.
You are responsible for your own taxes, social security contributions, exchange-rate effects and business expenses, subject to applicable law.
Client relationship and subcontracting
Use direct client access only for the assigned Workfully engagement and through the approved working process. Do not move the client relationship or recruitment activity outside Workfully.
Perform the work personally unless Workfully has given prior written approval for subcontracting or delegation. Do not share client, candidate or platform access with another person without authorization.
