Recruiter expectations and ways of working

Follow the shared standards for candidate quality, platform activity, confidentiality, data protection and client communication.

Use this article as the day-to-day checklist for delivering recruitment work through Workfully. These standards apply across Pay Per Hire and Job Slot assignments wherever they are offered, subject to the terms accepted for each assignment. At present, opportunities published in the Marketplace are Pay Per Hire opportunities.

Work as an independent professional

Recruiters work as independent professionals. You organize your own activity and methods and remain responsible for your own equipment, expenses, taxes, social security contributions, insurance and legal compliance.

Do not present yourself as a Workfully employee, agent or authorized representative. Do not use Workfully or client names, logos or branding unless you have permission for the specific use.

Accept only work you can actively support

Review the brief and expectations before accepting an assignment. Once you commit:

  • Start promptly.

  • Maintain meaningful activity.

  • Attend agreed meetings or give advance notice when unavailable.

  • Raise blockers early.

  • Communicate changes rather than going silent.

  • Cooperate with a reasonable handover if the assignment is reallocated or ends.

Submit suitable, informed candidates

Before submitting a candidate:

  • Screen the candidate against the core requirements.

  • Confirm genuine interest in the role.

  • Discuss compensation expectations and availability.

  • Confirm the information submitted is accurate and current.

  • Inform the candidate how their data will be used and shared.

  • Obtain consent where required.

Never submit a fictitious candidate, alter information to create a match, submit without an appropriate lawful basis, or manipulate records to obtain attribution.

Keep Workfully as the source of truth

Record required recruitment activity in the platform, including:

  • Candidate submissions and supporting documents.

  • Screening notes.

  • Interview stages and dates.

  • Client and candidate feedback.

  • Withdrawals, rejections and offers.

  • Material role changes and blockers.

Accurate, timely records protect attribution and give the client and delivery team visibility. An offline spreadsheet, email thread or direct message does not replace required platform activity.

Protect confidential information

Treat all non-public client, role, candidate, pricing, fee, process and Workfully information as confidential.

Use confidential information only to deliver the relevant assignment. Do not:

  • Repost or publish a confidential role.

  • Share screenshots of the platform or non-public brief.

  • Disclose a client's identity before disclosure is authorized.

  • Discuss fees, candidate data or client information publicly.

  • Use confidential information to develop an off-platform client relationship.

If disclosure is required by law, or if information may have been exposed, contact Workfully promptly and share only what is necessary.

Protect candidate data

Collect and process only the candidate data needed for legitimate recruitment activity. Keep it secure, restrict access and follow applicable data-protection law and Workfully's documented instructions.

Report a suspected personal-data incident immediately. Do not wait to investigate it fully before alerting Workfully. The applicable agreement may specify a formal notification deadline.

Keep client relationships within Workfully

Do not contact, negotiate with, accept recruitment work from or provide candidates to a Workfully-introduced client outside the approved Workfully relationship. Do not use a candidate or another recruiter to create an indirect route around the platform.

These restrictions may continue after an assignment or platform relationship ends. Check the terms you accepted before acting. If a client approaches you directly, pause and ask Workfully for written guidance.

Use allocated tools only for assigned work

Platform access and any third-party sourcing license or tool allocated by Workfully must be used only for the assignment for which it was provided and in line with the provider's terms.

Do not share credentials or use an allocated license for personal business development or another client. Access may be removed when an assignment ends.

When to ask for help

Contact the Delivery or Supply team when:

  • The brief or terms are unclear.

  • You believe a candidate was attributed incorrectly.

  • A client contacts you outside the approved process.

  • You cannot meet an expectation or deadline.

  • You need to disclose client information to a candidate.

  • A candidate requests deletion or raises a privacy concern.

  • You suspect a data or confidentiality incident.

  • You need to use another person or tool on the assignment.

  • You receive invoice instructions that do not match the accepted terms.
