Get clear answers about the Marketplace, Pay Per Hire, Job Slots, submissions, payments, tiers, data and client contact.

Use these FAQs for quick answers about working on Workfully-managed roles. Each answer is self-contained so it can also be used accurately by the chat agent.

General

Am I a Workfully employee?

No. Recruiters work as independent professionals, not as employees, agents or representatives of Workfully or its clients. Recruiters remain responsible for their own working methods, equipment, expenses, taxes, social security contributions and legal obligations.

Does Workfully guarantee me assignments or income?

No. Workfully does not guarantee a minimum number of roles, Job Slots, interviews, hires, renewals or earnings. Opportunities depend on client demand, recruiter fit, availability, performance, capacity, tier considerations and the applicable assignment process.

Can I work with other platforms or clients?

Yes, the relationship is generally non-exclusive. However, Workfully-introduced clients, roles, candidates and confidential information must not be used to create or support an off-platform relationship. Follow the restrictions in the terms you accepted.

Which document controls if two descriptions are different?

The applicable accepted agreement and role- or project-specific terms control. General Help Center content, one-pagers, chat messages and examples are explanatory only. Ask the Workfully team to clarify a difference in writing before continuing.

Is Workfully for recruiters or for candidates looking for jobs?

The Recruiter Hub and recruiter Marketplace are intended for independent recruitment professionals who source and manage candidates. They are not a candidate-only job-search account. If you registered while looking for a job rather than recruiter work, contact support to confirm the appropriate account or deletion process. Do not create repeated profiles while the request is being reviewed.

Can I change the email address used to sign in?

Changing email-notification preferences does not change the email address used for login. If your account does not show a self-service option, contact support and explain whether you use email and password or Google sign-in. Do not create a replacement account unless the team instructs you to do so, because duplicate accounts may separate your profile and activity.

Can I use a professional brand on my recruiter profile?

If you work independently and remain personally responsible for sourcing, screening and candidate management, you may describe a professional brand on a profile held in your own name, subject to Workfully's vetting and profile requirements. Agencies, recruiter teams and other multi-person delivery models may require a separate review. A brand name or completed profile does not guarantee Marketplace or role access.

How can I tell whether my recruiter profile is approved or ready?

A completed or publicly visible profile does not by itself confirm approval, verification or access to Marketplace opportunities. Check the status shown in your account and any confirmation sent by Workfully. Profile approval, Marketplace access and approval for a specific role are separate decisions. If the status is unclear, contact support from the email linked to the account; there is no fixed approval time.

How do I update my recruiter profile or availability?

Open your profile settings and update the fields currently available under your profile or public-profile details. Keep your specialisms, locations, experience and availability accurate because they may be considered when assessing fit. If a field is missing, locked or will not save, do not create a second account. Send support the field name, what you selected and a screenshot of the issue.

How can I delete my recruiter account?

Ask support to delete the account and contact the team from the email associated with it. Workfully may need to confirm the account owner and review any active assignment, invoice, candidate-data or legal obligations before completing the request. Do not create another profile while the request is being handled. The timing and scope of deletion depend on the applicable terms and data-protection requirements.

Marketplace

What is the Marketplace?

The Marketplace is where Workfully publishes recruitment opportunities for recruiters. It currently contains Pay Per Hire opportunities. Job Slot opportunities may also be published there in the future. The opportunity details and applicable terms identify which engagement model applies.

Does applying through the Marketplace guarantee access to an opportunity?

No. Applying through the Marketplace does not guarantee access, assignment, exclusivity, an interview, a placement or earnings. The process depends on the engagement model, client needs, fit, capacity and the applicable terms.

Do I need to have a candidate before I select "Apply to work"?

Not unless the opportunity expressly says so. Applying normally expresses your interest, relevant experience, availability and ability to deliver the search. It does not mean a candidate already exists or has been submitted. Wait for access or confirmation before using non-public information or presenting candidates for the role.

Why was my application declined or left waiting?

Applications are reviewed according to current client needs, recruiter fit, relevant experience, capacity and the level of support required for the opportunity. Having possible candidates does not guarantee acceptance. There is no fixed acceptance or waiting time, and a declined application does not mean that a particular candidate was assessed or rejected. Keep your profile and availability accurate and apply only to opportunities you can actively support.

Where can I find recruiter opportunities?

Available recruiter opportunities appear in the Marketplace when Workfully opens them to applications. The Marketplace currently contains Pay Per Hire opportunities; Job Slot opportunities may also be published there in the future. A complete profile and current availability help Workfully assess fit, but they do not guarantee that an opportunity will be available or assigned.

Can the chat agent tell me how many candidates are already interviewing?

The chat agent should not estimate a role's live pipeline from general hiring benchmarks. Use the role information visible in Workfully or ask the Delivery Manager for the current account status. Access to candidate-level pipeline information depends on your assignment and permissions.

Pay Per Hire

Is a Pay Per Hire role exclusive to me once I apply?

No. Pay Per Hire roles are generally non-exclusive. Applying does not create exclusivity or guarantee access. Even after access is granted, other recruiters or sourcing channels may work on the role.

When do I earn a Pay Per Hire fee?

A Pay Per Hire fee may be earned only when a candidate validly attributed to you is hired and the conditions in the accepted role terms are met. Sourcing, submission or interview activity by itself does not create a fee.

How is the Pay Per Hire fee calculated?

The applicable role terms state the fee percentage or amount, the compensation base, exclusions and invoice trigger. Do not assume that the calculation used for one role applies to another role.

When will a Pay Per Hire invoice be paid?

Pay Per Hire payment timing is governed by the accepted role terms, Workfully's written invoice instructions and receipt of a valid invoice. When a placement is confirmed, Workfully communicates the amount and the invoicing process. Ask Finance if a written instruction appears inconsistent with your accepted terms.

When and where should I send my invoice?

Wait for the placement or service period to be confirmed and follow the written invoice instructions, link or form provided by Workfully. Do not send an invoice directly to the client or rely on an address from an unrelated assignment. If the expected instruction or earnings-dashboard item has not appeared, or a placement disappeared after a role was paused or closed, contact the Finance channel or your Workfully contact before submitting anything. The chat agent should not calculate the amount due from an incomplete dashboard.

Where should I add payout or bank details?

Do not send bank, card or other sensitive payment details in chat. Use only the secure method, form or written Finance instructions provided for your account or confirmed payment. If no payout option is visible in your dashboard, ask Finance or support for the correct process; the chat agent should not guess whether access appears after approval, a first placement or another event, or promise a particular payment method.

What happens if two recruiters submit the same candidate?

Candidate attribution is normally based on the earliest valid submission recorded through the Workfully platform for the relevant role, subject to the applicable terms. A submission must be complete, accurate and supported by the required candidate consent to be treated as valid.

Can a fee be split between two recruiters?

Pay Per Hire fees are generally attributed to one recruiter under the applicable attribution rules and are not automatically split. Any exception must be confirmed by Workfully in writing.

What should I include in a candidate submission?

A complete submission normally includes an up-to-date CV, screening notes, salary expectations, notice period or availability, contact details, a match explanation and confirmation of the candidate's informed participation and required consent. The role-specific terms may require additional information.

Why do I see "Could not submit the candidate - please try again"?

One known cause is a candidate presentation summary that exceeds the current 5,000-character limit. Shorten the summary and try once more. If the error continues, do not create duplicate candidate profiles. Send support the role, the candidate identifier, the exact error and a screenshot so the issue can be investigated.

What are the standard Pay Per Hire delivery expectations?

The current Pay Per Hire template expects initial candidates within 7 calendar days, more than 50% shortlist-to-client-interview conversion, at least 2 candidates presented in each 2-week period and at least 1 client interview in each 1-month period. The targets shown in the terms for the specific role always take priority.

What happens if I do not meet a Pay Per Hire target?

Workfully reviews activity, quality, conversion and communication. If required targets are missed or the role is inactive, Workfully may reallocate access to another recruiter. Tell the Workfully team early if the market or brief is preventing delivery.

What happens if my hired candidate leaves?

The role-specific replacement terms explain whether a replacement obligation applies, how long it lasts and which exceptions apply. Contact Workfully before promising a replacement or fee outcome. A replacement normally does not generate a new fee unless the accepted terms say otherwise.

Job Slots

What is one Job Slot?

One Job Slot normally means capacity to manage one active role at a time for a client. The slot can move to another role when the current role is filled, closed, paused or reprioritized, subject to the project terms.

Is a Job Slot the same as one job posting?

No. A Job Slot represents ongoing recruiting capacity, not a single permanent posting. The active role in a slot may change during the assignment.

What Job Slot capacity can I receive?

Depending on the project, assignments may include a dedicated 1-slot model, a part-time model equivalent to 4 slots or a full-time model equivalent to 8 slots. Actual capacity is confirmed in the project terms and is not guaranteed before assignment.

What are the standard Job Slot KPIs?

The current Job Slot template expects 2 screened shortlist candidates per week per active job, more than 30% monthly conversion from shortlist to first client interview, and monthly client feedback of at least 4 stars under the stated process. The accepted project terms are the source of truth.

What if the market makes two candidates per week unrealistic?

Raise the issue early and demonstrate measurable value through market data, strategic advice, transparent funnel metrics, frequent updates and a documented remediation plan. Silence is not a substitute for delivery, and continued missed targets without good-faith remediation may lead to slot reallocation.

Can I subcontract my Job Slot work?

Not without prior written approval from Workfully. Do not delegate the work or share client, candidate, platform or allocated-tool access with another person unless Workfully has approved it.

How does Job Slot payment work?

The applicable project terms state the compensation, service period, currency, invoice process and payment timing. Workfully provides the amount or invoice instruction for the relevant period. The assignment does not guarantee indefinite work, renewal or future capacity.

Tiers

What recruiter tiers are available?

From 1 September 2026, the framework has three tiers: Rising, Pro and Partner. Every vetted recruiter starts at Rising and can move up based on confirmed placements or Delivery Manager-accepted shortlists on Workfully-managed roles.

What counts toward my tier?

Only confirmed placements and Delivery Manager-accepted shortlists on Workfully-managed roles count. External placements, self-managed roles and unaccepted or incomplete shortlists do not count.

How do I move from Rising to Pro?

You move from Rising to Pro after at least 1 confirmed placement in the trailing 12 months or at least 5 Delivery Manager-accepted shortlists in the trailing 90 days, once Workfully confirms the change.

How do I move from Pro to Partner?

You move from Pro to Partner after at least 5 confirmed placements in the trailing 12 months, once Workfully confirms the change. There is no minimum tenure requirement.

How often is my tier calculated?

Tier data is recalculated on the first business day of each month using trailing windows of 12 months for placements and 90 days for accepted shortlists. The Supply team may confirm an earned upgrade sooner.

Does a higher tier guarantee work?

No. A higher tier may provide priority consideration and additional benefits, but it does not guarantee assignment, exclusivity, client selection, interviews, placements, feature availability or earnings.

What happens the first time a Partner misses a service condition?

The affected role may be reallocated in tier order. The miss is recorded, but there is no automatic demotion. The Supply team reviews the facts and confirms the outcome.

What happens after a second Partner service miss within 12 months?

Under the tiers framework effective 1 September 2026, a second confirmed service miss within 12 months moves the recruiter to Pro for a fixed 3-month period and removes Partner priority during that period.

What if a Partner falls below five placements?

A Partner has a full quarter below the 5-placement trailing-12-month threshold before a placement-count demotion. The Supply team provides a personal heads-up approximately 1 month before an expected change.

Platform, client contact and data

Why must I keep activity in the platform?

The platform provides the shared record for candidate attribution, pipeline status, client visibility and delivery reporting. Offline activity does not replace required platform records.

Why can I not see a candidate after creating or submitting the profile?

First search the Talent Pool using the candidate's email address. If the profile already exists, add that existing record to the correct role and pipeline stage rather than creating it again. Refresh the role once and check the recorded status. Do not recreate the same candidate repeatedly, because duplicate records can make troubleshooting and attribution harder. If the candidate is still missing or will not save, send support the role, candidate identifier, what happened after Save or Submit, and a screenshot or exact error.

Why have my Marketplace roles, jobs or pipelines disappeared?

Do not assume that the underlying data has been deleted. Refresh once, sign out and back in, and check the account, filters and availability status you are using. Do not recreate jobs or candidates while visibility is being investigated. If the items are still missing, send support the page URL, affected role or candidate identifiers, when you last saw them and a screenshot. The chat agent should not claim there is or is not a platform-wide incident without a confirmed status update.

Why can I not edit candidate details or upload an updated CV?

Some candidate fields or documents may be read-only depending on how the profile was created, the screen being used and your permissions. Do not create a duplicate candidate to work around a locked field. Check whether the editable option is available from the Talent Pool or the candidate's main profile; if it is still unavailable, contact support with the candidate identifier, the field or document to update and a screenshot.

Can I see which job board a candidate applied through?

The recruiter view may distinguish broad sources, such as a job-board application, a manually added candidate or an application through a recruiter profile, without identifying the exact external job board. Do not infer a specific source when it is not displayed. If exact source attribution is required for a live project, ask the Delivery or product team what reporting is available for that role.

What should I do if a location is missing from a profile, job or filter?

Do not select an inaccurate city or country simply to continue. Check the spelling and any supported option shown in the field. If the required location is still unavailable, send support the exact city and country, the page or field where it is missing and a screenshot. Location availability can vary by workflow and should not be inferred from general market coverage.

Can I share a candidate profile with someone outside the platform?

Candidate profiles, CVs and comments contain personal data. Share them only with an authorized participant in the relevant hiring process, using an approved platform sharing method and with the required candidate knowledge or consent. Do not work around a broken or truncated share view by copying the data into an unapproved channel. Report the link and display issue to support without posting the candidate's personal data in a public chat.

Will a candidate receive an email if I select Reject?

Do not assume that every Reject control behaves the same way. The result can depend on the screen, workflow and notification configuration. Before taking the action, check the confirmation shown in the product. If it is unclear, tell support which Reject button you mean and include a screenshot; the chat agent should not promise that an email will or will not be sent without that context.

Can I contact a Workfully client directly?

Use only the contact routes approved for the Workfully assignment. Direct client access within a Job Slot does not permit moving the relationship or recruitment activity outside Workfully. If a client contacts you outside the process, pause and ask Workfully for written guidance.

Can I tell a candidate the client's name?

Share a client's identity only when disclosure has been authorized and is necessary for the process. Until then, use only the information approved for candidate communication.

Can I repost a role on my own channels?

Only publish role information that Workfully has authorized for external use. Do not copy a confidential brief, client identity, screenshot, pricing information or other non-public content into a post.

Who owns candidates in my Talent Pool?

Recruiters may retain rights in candidates they independently source and organize in their own Talent Pool, subject to the accepted agreement, applicable data-protection law and the rights attached to work delivered for a specific Workfully engagement. This does not override platform attribution or permit off-platform use of client or assignment information.

What should I do if a candidate asks for their data to be deleted?

Record the request and contact Workfully promptly so it can be handled under the applicable data-protection process. Do not promise a deletion timeline or outcome before the responsible team confirms it.

What should I do if I sent candidate data to the wrong person?

Contact Workfully immediately with the facts, recipients, data involved and any containment already taken. Do not wait for a complete investigation before reporting a suspected personal-data incident.

Can I use a Workfully-provided sourcing license for another client?

No. A license or tool allocated for a Workfully assignment must be used only for that assignment and in line with the provider's terms. Do not share credentials or use allocated access for personal business development or another client.

Terms and support

What if a client asks me to work with them outside Workfully?

Do not accept, negotiate or redirect the request. Save the message and contact the Workfully team for written guidance. The terms you accepted may restrict direct or indirect work with a Workfully-introduced client during and after the assignment.

What are the consequences of going around the platform?

Off-platform client contact or work may lead to suspension, removal, loss of fees or other contractual remedies. The exact consequences depend on the applicable accepted terms. Because different source documents may contain different wording, the chat agent should not calculate or quote a breach amount; ask the Workfully team to review the specific agreement.

Who should I contact about a role, an invoice or my tier?

Contact your Delivery Manager or Supply contact for role delivery, client process and tier questions. Contact the Finance channel specified in your invoice instructions for invoicing or payment questions. If you do not know the correct contact, ask in chat to be routed to a teammate.

What should I do if a verification link returns me to my public profile?

Retry the original link once while signed in, preferably in a regular browser rather than an embedded email view. If it still returns to your profile or does not start the expected process, contact support with the email date, device, browser and a screenshot. Do not assume that landing on the profile means verification is complete.

What should I do if the recruiter terms appear incomplete or cut off?

Do not rely on general website terms as a substitute for the recruiter-specific document you are being asked to accept. Ask Workfully for the complete version and identify the section where the text ends. Review the corrected document before accepting it. Help Center content and chat answers do not replace the applicable agreement.

Can I ask to speak with a person?

Yes. Ask in chat to be routed to a teammate and include the role, candidate, invoice or account context needed to investigate. Response times vary, so the chat agent should not promise a specific reply time or outcome.
